Casting calls that book themselves.
EntertainHQ is one place to run an entertainment company. Post a casting call and the right performers get a text; they apply in one tap, you accept, the contract is signed from a phone, the client is invoiced and paid — and every reminder goes out on its own.
Booking entertainment is a hundred texts, a spreadsheet and a prayer. It shouldn't be.
An entertainment company's day is finding the right performer for Saturday, chasing a signature, remembering the call time, telling wardrobe what to pull, invoicing the client and hoping the deposit lands. Every one of those lives in a different tool, or in someone's head. EntertainHQ is where all of it lives instead.
Today
- Group texts and DMs to find who's free — and no record of who said yes
- Contracts as PDFs in email threads, signed late or not at all
- Call times and costume pulls in a spreadsheet only one person understands
- Performer sizes, photos and availability out of date the day after you asked
- Quotes in one tool, invoices in another, payments in a third — none of them tied to the event
- A no-show you find out about from the client
With EntertainHQ
- One casting call texts only the matching, opted-in performers in that region; every "yes" is on the event
- Accept one and their contract exists; they sign it from their phone; the PDF is on file
- Call times, performance windows, characters and wardrobe pulls on the booking, visible to the people who need them
- Performers keep their own profile, sizes, media and availability current — nudged, not nagged
- Proposal → contract → invoice → paid by link into your own processor, all attached to the event
- Three-day, call-time and day-of reminders; check-in and punctuality on the record
From "we need a magician Saturday" to booked, signed and reminded.
Post the call
Pick the talent type, the region, the date, the call time and the rate — or just check availability before you've won the event.
The right performers get a text
Only matching, opted-in performers in that region hear about it. One text, one link, no app to install, no password to remember.
They apply, you accept
Applications land on the event with photos, sizes and history. Accept one and their contract is generated on the spot.
Signed, booked, reminded
They sign from their phone. Reminders go out three days before, at call time and on the day. Your on-site manager gets the brief.
Everything to cast and book is the base. Add what you use.
Casting calls & availability checks
Matched on talent type, region and availability. Multi-date runs. Checks that aren't offers of work.
Roster & talent portal
Profiles, media kit, sizing, regions, availability, type vetting. Magic-link sign-in, guided first run.
Contracts & bookings
Contracts generated on accept, e-signed, sealed, re-issued, voided with a reason. Bookings, direct-add, removals.
Clients, proposals, invoices
Lead form to proposal to contract to invoice, paid by link into your processor. A client page by magic link.
Texting service
Your own registered number. Casting calls, contracts and reminders by text, opt-in and STOP/HELP built in.
Costume portal
A board that knows what each character is made of, pulls and returns, inventory and props, a portal for wardrobe.
Companies that put performers in front of audiences.
Straight answers.
Do performers need to install an app?
No. Everything a performer does — apply, sign, confirm, update their profile — happens from a text or email link that signs them in. No passwords, nothing to install.
Does it replace my CRM?
It can. EntertainHQ runs leads, clients, proposals, contracts and invoices itself. If you're on Tripleseat, keep it: events sync both ways as an add-on and the casting side takes over from there.
Whose payment processor is it?
Yours. Connect your own Stripe account in minutes and client payments settle directly to you. More processors are on the way; the money never routes through us.
Is the texting compliant?
Yes. Every company texts from its own registered number, performers opt in explicitly, every message carries STOP/HELP, and texts are budgeted so a name or a long event title can't push one into an extra segment.
Can I bring my existing roster?
Yes. Import your performers, invite them by email, and they set themselves up through a guided first run. Onboarding is invite-only — nobody joins your roster without you.
Where does my data live?
In a database that is yours alone, on your own address (yourcompany.entertainhq.com). Nothing of any other company is ever in it.
Be on stage for the first act.
We're onboarding a small number of entertainment companies ahead of the November launch. Tell us about your roster and we'll set up your workspace with you.
